Job Description: Administrative Manager/Executive Assistant 

The Three Counties Cider and Perry Association is a trade association for cider makers based  mainly in the Three Counties (Herefordshire, Gloucestershire, Worcestershire), but with a  membership extending nationwide. Founded in 1993 we represent over 100 members, and organise  educational events, cider competitions, government lobbying and everything in between to promote  the ancient and noble art of cider-making. Recently our flagship annual event has become  ‘CraftCon’, a conference held for the benefit of cidermakers and the cider community at large.

Position Overview: We are seeking a dynamic and organised individual to join our team as an  Administrative Manager/Executive Assistant for a prominent cidermakers’ trade body, the Three  Counties Cider and Perry Association. The ideal candidate will be responsible for efficiently  managing administrative tasks associated with the organization’s operations, including meeting  administration, event coordination, grant application writing, and maintaining records. This role  requires excellent communication skills, attention to detail, and the ability to multitask effectively,  as well as self motivation and the ability to self direct work and tasks. The role will report to the  Chair of the TCCPA, currently Albert Johnson of Ross-on-Wye Cider and Perry Company Ltd.

Key Responsibilities: 

  1. Administering Meetings:
  • Coordinate and schedule meetings, including preparing agendas and distributing  agenda materials/reports.
  • Attend meetings, take accurate minutes, and distribute them in a timely manner.
  • Maintain records of meeting discussions, decisions, and action items.
  • Follow up on action items to ensure timely completion.
  1. Event Coordination:
  • Assist in organising and managing various events such as members’ evenings,  ciderworks visits, and the annual CraftCon conference.
  • Assist in coordinating logistics including venue booking, catering, and  transportation.
  • Assist in promoting events and managing RSVPs.
  • Provide on-site support during events to ensure smooth execution.
  1. Record Keeping and Documentation:
  • Maintain organized records of memberships, contacts, and other relevant  information.
  • Manage electronic and physical filing systems for easy retrieval of documents.
  • Assist in developing and implementing administrative policies and procedures.
  1. Communication and Correspondence:
  • Serve as a primary point of contact for internal and external inquiries, delegating to  the relevant committee members as necessary.
  • Draft and proofread correspondence, reports, and other documents as needed.
  • Communicate effectively with members, stakeholders, and partners.
  • Help maintain social media channels not limited to instagram and Twitter.
  1. General Administrative Support:
  • Provide administrative support to senior management as required.
  • Manage calendars, schedule appointments, and coordinate travel arrangements. • Handle other administrative tasks and special projects as assigned.

Qualifications and Skills: 

  • Proven experience in administrative roles, preferably in a membership organization or trade  association.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) or GoogleDocs, and/or  other relevant software.
  • Ability to manage multiple tasks and priorities efficiently.
  • Experience in event planning and coordination is highly desirable.
  • Experience of applying for grant funding is highly desirable.
  • Familiarity with the cider industry or agricultural sector is a plus.
  • Professional demeanour with the ability to interact effectively with diverse stakeholders.
  • Bachelor’s degree in Business Administration, Management, or a related field would also be  desirable.

Experience in administrative support and event coordination, along with a genuine interest in the cidermaking community, will  make you an ideal candidate for this position.

The role will be on a freelance contractor basis – we are not offering an employment contract, so  applicants must be able to manage their own tax, national insurance and pension affairs. In  exchange for flexible working times, and completion of the work, we expect to be invoiced for  approximately 16 hours per month, at a rate not exceeding £25 per hour.
